Process automation for small businesses

Tired of copy‑pasting the same thing over and over?

I help small businesses get rid of manual work that eats time and invites mistakes. I connect tools, tidy up how data flows and automate specific tasks.

I won't push you into a new system if connecting the tools you already use will do.

You don't need to know whether it can be automated at all. Describe the process and I'll tell you straight what makes sense and what's better left alone.

Example run: the same tasks take minutes by hand and seconds when automated — an invoice from e-mail, a shop order, a weekly report and chasing payment deadlines.

01Quick check

If someone on your team keeps clicking the same things, copying data or tracking deadlines from memory, I can probably spare them that.

~/quick-check5 QUESTIONS · ABOUT 30 SECONDS

Five questions about one task you'd like to hand off. Answer for how things are today — the result tells you whether it's worth going further.

01Does this task come up at least once a week?
02Is the data digital — in e-mails, files, spreadsheets or systems?
03Can you describe the rules someone follows to do it today?
04Are exceptions rare, e.g. one case in ten?
05Do your tools let you export data or have an API?

RESULT

Answer all the questions to see the result.

This is a quick orientation, not a verdict. I check every process individually before I quote anything.

How I keep your risk low

  • You know the price before work begins.
  • The audit fee is deducted from the implementation price.
  • After launch, I fix bugs within the agreed scope.
  • Everything runs in your accounts and belongs to you.
  • If something isn't worth it, I say so plainly.

Prices up front, so it's clear what budget we're talking about.

Process audit

FOR WHOM

You know a process takes too much time but not yet what can be done about it. I'll find out.

WHAT YOU GET

  • a write-up of how the work is done today
  • the steps worth automating
  • a concrete proposed solution
  • a list of limitations and risks
  • an indicative implementation price

DONE WHEN

You know which steps are worth changing, with what risk, and what budget the implementation needs.

If you hire me for the implementation, I'll deduct €75 from its price.

Selected: Process audit, €75. Scope updated.

03Payback calculator

First, let's check whether it pays off.

= 20 h of manual work a month

Rate: gross employee cost plus overhead, not net salary.

Conservative estimate: pays back in month 3

+€2,910after a year

€300/monthrecovered · after care costs

Typical scenario: pays back in month 2 · +€4,710 after a year

[ balance: 4.2× the implementation cost ]

The conservative scenario assumes 50% of the time is recovered, the typical one 75%. A process audit pins down the exact range.

This is the value of time, not cash in the bank.

Excludes licences, APIs and servers — we agree those before starting.

Describe your process →

Audit: €75, deducted from the implementation cost.

Just because something can be automated doesn't mean it's worth paying for.

04Collaboration and care

From the first message to launch — and beyond, if you want me to look after the solution.

~/collaboration5 STAGES · EACH ENDS WITH SOMETHING CONCRETE

I break the current work into steps, exceptions and costs. The outcome can also be a decision not to automate anything.

YOU GETA decision: automate, simplify the process, or keep things as they are.

Describe your process

After launch

After launch, you can take the solution over or leave it in my care.

Automation relies on tools that change over time. So before handover we agree who monitors it, handles errors and reacts when a service changes.

  • The process running. I check that the automation finishes correctly and that data reaches the agreed place.
  • Errors and stuck cases. I find the cause, restore the workflow and check whether skipped data needs filling in.
  • Changes in the tools. I update the connection when authorisation, an API or the data structure used by the process changes.
  • Limits of responsibility. If a problem needs the process rebuilt, I describe the scope and cost first. I don't add work to the bill after the fact.
Monthly care pricing

Prices don't include paid licences, APIs or servers. If they're needed, I'll show their cost before work starts.
